Web Visitors Processing
Overview
Both the RPM and KMC website have a tracker installed that imports visitor information directly to Pipedrive. You can find this information by going to the Leads tab and clicking Web Visitors.
Not all web visitors meet our lead criteria. They may be outside our geographic territory or operate in the wrong industry or any number of things. Because of this we need to sort through the Web Visitors section of the Leads Inbox on a recurring basis.
Each Web Visitors should either become a Lead, get merged into an Organization, or be Hidden so we don't have to process it again. Before we get to that, let's talk about what information is provided.
Information Provided
Header Info
Pipedrive automatically pulls in information for Web Visitors. Below we can see an example for Capital Bank. The visitor is located in Rockville, they have Visited 4 times (more info in the Visits section), their Last Visit was July 17th, and they Viewed 25 pages.
They also have 1 Bounce. A website bounce is when someone only visits one page of your website and leaves before clicking a link or really doing anything on the site.
Company Info
While the visitor is located in Rockville, we can see from the Company Info Description that the headquarters is in Washington, D.C.
We also can tell their Industry is Banking and the website is provided; you can click the link if you want to see more about the company. Lastly, we are given an estimated Employee Headcount and links to Social Media Accounts.
Visits
This is where it gets interesting. And by interesting I mean creepy.
Time
In the Time column of the Visits section we can see the date and time they visited our website. If you click the + (plus) symbol you'll see the URL of each page they visited. You can click on the URL to view the page yourself.
Source
We can also see how the Web Visitor reached our website. Here we have several examples:
- Bing: they found us by searching a terrible search engine, Bing
- Google: they were much smarter this time and used Google to find us
- Direct: they entered the URL directly into the web browser (e.g. kenneymachinery.com)
Pages
This is simply the number of Pages they viewed during this session.
Length
The Duration they spent in each session is also logged. The row with the Date shows the duration of the Complete Session. There is also a Duration for each Page (URL) they viewed.
In the example below, we can see they spent 9 seconds on the home page before navigating to Used Mowers for 17 seconds, the Contact Page for 1 minute 40 seconds, and so on.
Try to construct a story about what the Web Visitor might have been looking for. In the example below, the top visitor has shown some interest, viewing more pages and spending more time on the website. The bottom example (with the exception of August 12th) appears to using our website to find our phone number. They typically only visit one page, and rarely spend more than a few seconds on the site.
Create Lead
A Lead is someone who has raised their hand to show interest. There isn't a defined conversation/Deal yet, but they've taken action that we need to respond to. In this case they showed interest/took action by visiting the website, so let's reach out!
If the Web Visitor meats our Lead Criteria then click the green + Lead button to create a lead.
Once the lead is created it should be Assigned to the correct User and an "at mention" Note should be added to give the owner a heads up to reach out.
Merge into Organization
If we have an existing Organization in Pipedrive they will promp us to review the possible duplicate. This shows up as a yellow box with bold lettering Similar organizations found.
To view potential duplicates click the View link. When you Hover over the Organization Name there will be a blue bar, and on the right side you'll find a White Box with an Arrow. You can click that white box to View the Organization.

If it is the same Organization that's in Pipedrive already simply click on the company name. If it is not the same then click Do not link organization.
Web Visitors that are linked to Deals, People, and Organizations within Pipedrive will notify the owner of the element. If they view the Rental pages then it will notify the Rental team instead.
Hide
If the Web Visitor does not meet our criteria then you can Hide it so we don't waste time vetting them after future visits.
To hide the Web Visitor simply click the Hide icon (eye with strike through) next to the name.
