Outlook Settings
Open Outlook and click on the gear in the top, right corner.
Create New
The “New mail” button in Outlook can do more than just start an email draft. You can use it to quickly open or create several different items.
- You must be in the New Outlook to follow these instructions
- Instead of clicking on the word “New mail” click on the arrow next to it
- From this drop down you can select to draft an email OR
- Create a Calendar Event
- Open a New Word Document
- Build a New Excel Spreadsheet
- Design a New PowerPoint Presentation
Mark as read
This setting is great if you use the read/unread status of emails to manage your inbox.
- Open your Outlook Settings
- Select Message handling in the center column
- Scroll down to the Mark as read section
- Select the method you prefer
- Click Save
Rules
Rules can do a lot of things. The example below will show how to forward and archive a message that you receive regularly. To learn more about Rules check out this Documentation from Microsoft Support. The easiest way to create a rule is to start with an email in your inbox.
- Right Click on the email > Advanced actions > Click on Create rule.
- Click More options
- Build the rule
- Add a name: I’m naming mine Micro Center Invoices
- Add a condition: This is how you select which email will have the rule applied. I want emails from noreply@microcenter.com with the subject line Your receipt from Micro Center
- By right-clicking on the email the From address is pre-filled
- Click Add another condition to apply multiple
- Add an action: This is where you tell your filter what to do
- I want to do the following actions:
- Mark as read
- Forward to receipts@certify.com
- Move to Archive
- Click Add another action to add as many as you need
- You can also Add an exception if that gets you where you need to go
- I want to do the following actions:
- Stop processing more rules: check this box if you want this rule to apply before any other rule you may create.
- Click Save
Schedule Send
Use this feature to select the time when you want an email to send. You can also stop the email from sending before the scheduled send time. To use this feature:
- You must be in the New Outlook to follow these instructions
- Instead of clicking on the word “Send” click on the arrow next to it and select Schedule send
- There will be pre-filled options or you can select Custom time
- If you choose Custom time you can schedule any day and time.
- Click Send
- The email will remain in your Drafts folder prior to the schedule send day/time.
- Delete the draft to stop it from sending.
Undo send
This is a notable feature if you forget to add an attachment or copy someone
- Click Compose and reply from the middle list of the settings menu.
- Find this setting a little past halfway down the list of Compose and reply settings
- Move the slider to the right for a max 10 second delay after you click send
- Click Save
- After you send an email there will be a gray box with an Undo button
- Click it to stop sending and place the email in your Drafts
